JOB DESCRIPTION
FINANCE AND ADMIN WORKER
(17.5 hours)
Salary: £21601 per year (pro-rata)
Holidays: 28 days (pro-rata)

Task for which the Finance and Admin worker has main responsibility, with support from other staff members as and when appropriate:
BOOK-KEEPING AND FINANCIAL ADMINISTRATION
- Financial organization of WRI's international meetings and other projects, as directed by Executive Committee
- Entering and updating records and database
- Banking of cheques, cash and other payments: paying of bills; invoicing
- Handling international transfers and corresponding with WRI's financial agents abroad
- Calculation and payment of wages and PAYE
- Alerting that spending is kept within agreed limits
- Managing Petty Cash
- Managing merchandising orders, managing WRI's webshop (updating products, dealing with orders, etc)
- Communicating with Lansbury House Trust Fund (re GiftAid, covenants, etc)
- Internal invoicing of other users of 5 Caledonian Road
FINANCIAL REPORTING
- Producing quarterly and end-of year accounts
- Liasing with WRI’s Treasurer on production of yearly financial report
- Keeping work timesheets
FUNDRAISING
- Producing WRI’s Annual Fund Appeals
- Reporting to funders
BUDGET
- Liasing with WRI's Treasurer for the production of yearly budget and advising and drafting of project budgets and other financial planning if necessary
OTHER ADMINISTRATION TASKS
- Liaising with Toshiba about copy machine maintenance: meter readings, repairs, toner and other issues
- Monitoring and ordering stock of stationary: paper, envelopes, etc
Joint responsibility with other members of staff:
FUNDRAISING WORK
- liaising with other staff members and Exec on planning contacting of possible funders
- communicating with possible funders
ORGANISING OF OFFICE WORK
- Preparing workplans for own tasks in coordination with other members of staff
- Main responsibility for database management
- Liaising in preparation of WRI Office report (sharing information, proof reading)
- Covering for other members of staff during holidays or sickness
- Recruiting, training, organizing and supervising work of volunteers (related to finance and administration)
- Proof-reading of written materials produced by the office (appeals, etc)
MAINTENANCE OF THE OFFICE
- Maintaining the office's filing systems and keeping office clean and tidy
- Keeping office open at regular working hours
ORGANISING WORK
- Servicing WRI events, including Executive, Council, Seminars, Triennial (sharing responsibility with other staff members during the events)
- Participating in meetings
- Assisting with production and distribution of minutes (sharing note taking, proof reading of minutes)
PERSON SPECIFICATIONS
SKILLS AND EXPERIENCE
- Ability to organise own work without close supervision
- Sound knowledge and understanding of accounting and budgeting systems
- Proven ability in understanding and interpreting financial statements and summarising main factors for non-financial managers to support their decision making
- Good computer skills, and ability to learn new software (War Resisters' International uses a Linux based setup, and does not use Microsoft Office or other MS Windows based applications); also desirable, skills in maintaining Linux based computer networks
- Good skill in use of computerised accounting applications (Gnucash – http://www.gnucash.org) and spreadsheets (OpenOffice Calc – http://www.openoffice.org)
- Good numeracy skills, application of analytical approach to detail and attention to maintaining accuracy
- Good database skills (SQL), or ability to learn new software quickly.
- Experience of working in a team and understanding the importance of effective communications for sharing information
- Good understanding of pacifism as well as a commitment to apply relevant policies
- Experience of reporting to donors and understanding of need for accounting for restricted funds, recording of restricted income and expenditure
- Fluency in English, written and spoken, and preferably knowledge of one of the following non-English languages: French, Spanish, German
